$10K Pilot Research Grant for cirrusAI Notes

CareCloud invites universities, teaching hospitals, research institutes, and qualified organizations worldwide to apply for a $10,000 pilot research grant to evaluate cirrusAI Notes in real-world clinical settings. Applications are reviewed on a rolling basis until August 31, 2025.

What this study will evaluate

You may propose one or both tracks:

Track A — Competitive Benchmarking

cirrusAI Notes vs selected AI scribing products on: documentation accuracy, specialty-specific sensitivity, efficiency, and editing burden. For fairness, the same encounter audio is used across products when applicable.

Track B — Operational Efficiency (Manual vs AI)

cirrusAI Notes vs manual documentation on: time-to-EHR-ready note, after-hours charting, same-day chart closure, and objective editing burden (edit logs with error-type classification: omission, commission, misinterpretation, formatting).

Full-product evaluation: Proposals may include cirrusAI Notes’ chatting module (answers provider queries about past medical history/clinical info) and AI plan-of-care suggestions to assess end-to-end workflow impact. 

Who can apply?

  • Accredited universities, teaching hospitals, research institutes, nonprofits, or qualified private organizations with access to clinical sites.
  • Principal Investigator (PI): faculty member or senior clinician authorized to conduct human-subjects research in their jurisdiction.

Key parameters

  • Setting: English-only outpatient encounters
  • Specialties: single or multiple (final selection confirmed with CareCloud)
  • Timeline expectation: We aim for data collection to complete in up to ~30 days after onboarding/approvals. Final timelines will be agreed collaboratively based on site readiness and regulatory steps.
  • Data ownership & publication: Data are CareCloud property; publication requires CareCloud’s prior written approval <.b>(see MoU/TORs).

Compliance:

  • Ethics approval from a local IRB/Ethics Committee
  • Prospective trial registration in an ICMJE-recognized registry (e.g., ClinicalTrials.gov or WHO primary registry) before first enrollment
  • Privacy/security: HIPAA-aligned handling and compliance with applicable local laws (e.g., GDPR, PDPA), encryption in transit/at rest
  • Recording consent for patients & clinicians; de-identification before any external transfer

Acceptance criteria (how we choose)

Applications are evaluated holistically, with emphasis on cost, feasibility, and rigor:

Budget competitiveness (≈30%)

Ability to complete within USD $10,000; clear, itemized local-currency budget; efficient use of in-kind resources.

Timeline feasibility (≈20%)

Credible plan to finish data collection in up to ~30 days post-onboarding/approvals.

Scientific rigor (≈20%)

Clear endpoints; standardized audio for fairness (Track A); paired/cross-over design where possible; objective edit-log methodology.

Compliance plan (≈15%)

IRB/ERC pathway; prospective registration timing; consent & de-identification; secure storage

Team capability (≈10%)

PI experience; roles for coordinators/RAs; QA/monitoring.

Specialty alignment (≈5%)

Fit with CareCloud’s priority areas.
